Detail Driven OS (the "Software") is a product of Detail Driven Enterprises of Jackson, Wyoming
("Detail Driven," "we," "us"), currently operated by Detail Driven to run its own four automotive businesses.
This policy describes — strictly — what data the Software touches, why, and the rules we bind ourselves to in
handling it. It is published publicly for our users and for the platform partners (such as Intuit) that require
a public privacy policy for applications that connect to their services.
1. Who We Are
Detail Driven Enterprises operates four automotive service businesses in Jackson, Wyoming: The Garage (mechanical repair), Windshield Doctor JH (auto glass), Mike's Body Shop (collision repair), and Auto Spa of JH (detailing and protection). The Software aggregates operational data from the business systems we already use so that our own staff can see it in one place.
2. Data We Process
The Software processes only data that already exists in Detail Driven's own business systems, accessed through authenticated, and wherever possible read-only, connections:
- Customer records and communications from our CRM (GoHighLevel): names, contact details, message threads, and appointment information for customers of our four shops.
- Repair and job data from our shop-management system (Tekmetric): repair orders, vehicles, estimates, and parts status.
- Accounting data from Intuit QuickBooks Online (when connected): company financial reports, invoice and receivables summaries, for our own companies only.
- Payment and membership summaries from Stripe (when connected): subscription status and aggregate revenue figures. We never access or store full card numbers.
- Website and marketing statistics from services such as Microsoft Bing Webmaster Tools, Google Search Console, Google Analytics, and advertising platforms (when connected): aggregate, non-identifying performance metrics for our own websites and campaigns.
- Operational metadata generated by the Software itself: scheduled-task logs, draft documents awaiting human review, and system-health checks.
3. What We Use Data For — and Nothing Else
Data is used solely for Detail Driven's internal business operations: monitoring shop workload, responding to our own customers, reviewing staff-approved message drafts, bookkeeping oversight, and measuring our own marketing. Specifically and without exception:
- We do not sell personal information. We have never sold it and will not.
- We do not share, rent, trade, or disclose data to third parties for their marketing or any independent use.
- We do not use data to train machine-learning models for any party, or permit any third party to do so.
- We do not serve advertising in the Software and use no advertising trackers, analytics beacons, or social-media pixels on it.
- Automated drafts generated inside the Software are never sent to customers automatically — a human employee reviews and sends every customer communication.
4. QuickBooks and Other Connected-Service Data
Where the Software connects to Intuit QuickBooks Online, it does so under Intuit's developer terms, using OAuth credentials scoped to Detail Driven's own company files. QuickBooks data is:
- accessed read-only for internal financial reporting and reconciliation review;
- displayed only to authenticated Detail Driven staff behind the Software's login;
- never disclosed, sold, or transferred to any third party, and never used for any purpose other than Detail Driven's internal accounting oversight;
- disconnectable at any time by revoking the connection in Intuit's app settings, after which the Software retains no live access.
The same restrictions apply to every other connected service: access is limited to Detail Driven's own accounts, scoped to the minimum necessary, and used only internally.
5. Legal Bases and Consent
We process customer data because it is necessary for the performance of services our customers request from our shops (repairs, glass work, detailing), for our legitimate interests in operating those businesses, and to comply with legal obligations (such as tax record-keeping). Staff access data under confidentiality obligations as a condition of employment.
6. Who Can See Data
Only authenticated Detail Driven personnel with individually issued credentials can access the Software. Access is logged and monitored. Limited categories of data are handled by service providers acting on our instructions (subprocessors), strictly to host or transmit it:
- Cloudflare, Inc. — hosting and transport security for the Software's web interface;
- the connected business systems named above, each under its own security terms;
- professional advisors (e.g., our CPA) where required for accounting, under confidentiality.
We may disclose data if required by law, subpoena, or court order, or to protect the rights, property, or safety of Detail Driven, our customers, or the public. Otherwise, no one else sees it.
7. Security
- All web access to the Software is encrypted in transit (TLS/HTTPS).
- The Software sits behind server-side authentication; sessions are signed and expire automatically.
- API credentials for connected services are stored in a restricted server-side credential store, never in client code, pages, or repositories, and never displayed in the interface.
- Connections to business systems are scoped read-only wherever the provider supports it.
- Access is limited to named individuals; system activity is logged; backups are maintained on Detail Driven-controlled hardware.
No system is perfectly secure; in the event of a breach affecting personal information we will notify affected individuals and authorities as required by applicable law.
8. Retention and Deletion
The Software holds short-lived operational snapshots; the systems of record retain data per their own schedules and our legal obligations (e.g., accounting records retained as required by tax law). Operational snapshots are overwritten continuously and old copies are not archived. Customers of our shops may request access to or deletion of their personal information by contacting us (Section 13); we will honor verified requests except where retention is legally required, and we extend the access/deletion rights of the Wyoming and other applicable U.S. state privacy frameworks to all our customers regardless of residence.
9. Cookies
The Software uses exactly one cookie: a signed, HTTP-only session cookie required to keep authorized staff logged in. It contains no tracking identifiers, is not readable by scripts, expires after 7 days, and is not shared with anyone. There are no analytics, advertising, or third-party cookies. The public legal pages you are reading set no cookies at all.
10. Children
The Software is a workplace tool for adults employed by Detail Driven. It is not directed at children and we do not knowingly collect data from anyone under 16 through it.
11. Requests from Public Authorities
In its current deployment, Detail Driven OS accesses Detail Driven's own business accounts and its own customers' data; it holds no third-party or external end-user accounts. If a government or public authority requests personal data or personal information that we hold, we follow these standing practices:
- Legality review. Every request is reviewed for legal validity before any response — we confirm it is a lawful instrument (e.g. a valid subpoena, warrant, or court order) issued by an authority with jurisdiction, and consult legal counsel where appropriate.
- Right to challenge. We reserve the right to challenge, narrow, or decline any request we consider unlawful, overbroad, or improperly issued, and will do so where legally permitted.
- Data minimization. When we are legally required to respond, we disclose only the minimum information necessary to satisfy the specific, valid request — never more than is legally compelled.
- Documentation. We document each request, our response, the legal reasoning applied, and the individuals involved, and retain that record.
Where permitted by law, we will notify an affected individual of a request for their information.
12. Changes to This Policy
We may update this policy as our systems or legal obligations change. The current version, with its effective date, is always published at this URL. Material changes will be communicated to staff directly.
